Help
How to install Diarized, and how to tell each task app how long your work takes. The second part decides whether your schedule is good. You can read every page here before you sign up.
Get started
- Sign in with the Google or Microsoft account whose calendar you live in — that connects the calendar in the same step.
- Connect a task app from the dashboard. Nine apps work today. Each app has a guide below that tells you what to write in a task.
- Choose which calendars count as busy and which one receives blocks — meetings on any of them are never booked over.
- Let the first sync run. Every block has a “Why this time” link inside it, which gives the real reasoning and not a summary.
- Tune the scheduling rules: what goes first, and what happens when something cannot be finished before its deadline.
- Finish work from either side — tick the task in its app, or use the “Mark done” link in the calendar block.
Set up your task app
Each guide answers the same four questions: how long, how urgent, when due, and how “done” syncs back. Each guide also names the one thing that the app cannot do.
-
Todoist
The best-rounded free option. Todoist gives you real priorities, real due dates, and a duration convention that we add when you connect.
-
Google Tasks
Comes free with your sign-in. When you connect Google Calendar, you connect Google Tasks too. Google does not ask for a second consent.
-
Microsoft To Do
Comes with the Microsoft sign-in. Outlook is the calendar and To Do is the task list. One consent covers both.
-
Notion
Your database and your columns. You tell Diarized once which column means what, and Diarized reads those columns from then on.
-
TickTick
A strong free task app with real priorities. Two properties of TickTick are important to know before your first sync.
-
Linear
Issues from your active cycle, booked around your real meetings. The sprint plan becomes time in your day.
-
ClickUp
The best task data of any source here. ClickUp's estimate is a real field on the free plan, so you write nothing in titles.
-
Jira
Your assigned issues from the open sprint, scheduled into the calendar that already holds your meetings.
-
Asana
Tasks assigned to you in the workspace you choose. Map two fields once, because Asana does not supply them.

- Switching from another scheduler — Motion, Reclaim, FlowSavvy and the day planners: what changes, what to move, and when staying put is the honest answer.
- Roadmap — what works today, what we build next, and what we examined and did not build, with the reasons.
- Blog — including how to schedule Apple Reminders yourself with Shortcuts, since no server-side product can.
- Reading — five books on time blocking, each with where it disagrees with what Diarized does.
